Operations Policy and Procedures - Members

 

Pre-Arrival and Arrival of Gymnasts

  • All joining forms must be completed prior to the first session.
  • Please read the welcome pack thoroughly.
  • If your child is unwell they must remain at home.
  • If your child has an injury this must be discussed with their coach/admin prior to leaving for the session.
  • All children must bring a water bottle to session, hair tied up, no jewellery, appropriate attire.
  • Park on the near side of the building to drop off your child, ensuring you do not park past or in front of the fire exits. Please use the road side if full.
  • Do not stop your car in any entrance or exit or middle of the road to let your child out of the car.
  • Walk round the building to the entrance on the bricked walkway.
  • The front of the building is a no car zone.
  • Wait outside the building until a member of staff invites you in. Registers will be taken at the door.
  • If you are late to a session sign your child in on the register. Do not enter the changing room but let a member of staff know you have arrived.
  • Changing room doors will be closed from reception end once session starts.
  • Viewing is open for the first week of every month. (See viewing policy and risk assessment)


Management during Session

  • All outside clothing to be left in the changing room (at owners own risk).
  • No food to be consumed inside the gym.
  • Drink bottles and medical items must be brought into the gym and named.
  • Bar bags can remain in changing rooms until needed. Please use the chalk box when applying.
  • Children must stand on the floor crosses ready for warm up.
  • Communication must be made to the coach if a child needs the toilet. They can be accessed any time during a session. Toilets in the gym must be used first, then changing room toilets. Older children may use the disabled/staff toilet.
  • Equipment rotations adhered to for all groups.
  • Groups may be joined together in case of staff illness not exceeding maximum ratios.

 

 

 

 

 

Behaviour Management

  • If you know your child finds it difficult to follow instructions and social situations, this must be discussed upon accepting a space at the club.
  • If a child’s behaviour is not manageable during a session a member of staff will contact you for them to be collected immediately. No refunds will be given.


Self-Care

  • All gym attire must be clean
  • All children must be able to take off/put on outdoor garments by themselves.
  • All children must be able to use the toilet on their own except for pre-school with parent session.
  • If your child is likely to have a toilet accident, please provide them with a bag of spare suitable clothing and wipes.
  • Children must arrive with hair tied back, no jewellery. Newly pierced ears can be covered for 6 weeks or until healed. You must provide your own tape.


Use of Chalk

  • Chalk can be purchased from coaches.
  • Chalk tubs and bar equipment must be named and in a named bag.
  • Bags may not be left at the gym between sessions
  • Chalk is only permitted to be applied over the designated chalk tray.


End of Class Procedure

  • Park on the back car park for collection.
  • In case of emergency or late pick up please make a note of the phone numbers on the front door. Do not email in this situation.
  • After the cool down, children will collect items from changing rooms and line up at the back fire exit.
  • Parents must collect from the carpark and must not remain in their car for collection.
  • Lost property can be found in the basket in the foyer.


Fee Payment

  • All fees and insurance will be paid via a secure bacs link.
  • Fees are set to leave accounts between 1st and 4th of each month.
  • Any late payments will incur a charge added to the next bill.
  • Please use your child’s individual reference code when buying any shop items or extra sessions.

  • We will not be available via phone unless in cases of emergency.
